Product Information


If you have a large number of products then with our Data Conversion Service we can automatically import these into your new POS system purchased from TecStore, saving you time and effort to re-enter them manually.

Check the details below are appropriate for your data, then add this service to your shopping cart, setting the Quantity to your number of files. We will then email you to request transfer of the file(s).

FEES
Data conversion is charged per file.

We will confirm the total cost after receiving all your data files and checking their format and size. Payment will be required with order and the work is typically scheduled within 3-5 working days.

FILE FORMAT
Files must be provided in either Microsoft Excel format or as a CSV file, with column headings.

We are unable to convert data from PDF, Word, database files or any other formats. We are unable to extract data from other POS software that we do not supply ourselves.

Each line/row of the spreadsheet / csv file should equate to a single unique product.

Data should be actual values, not formulae or references. Spreadsheet files must only contain a single sheet, otherwise they will need to be separate into multiple files.

MAXIMUM RECORDS PER FILE
There must be no more than 5000 product records per file. If you have larger files, then they will need to be split up into multiple files and an additional fee will apply per file.

FILE CONTENT
For each file, you must identify the specific column that contains:-

1. Product code or barcode
This will need to be a continuous numeric or alphanumeric, without spaces, and it must be unique to each product

2. Product description
Alphanumeric text upto a maximum of 50 characters.

3. Retail selling price (optional)
A single numeric value to 2 decimal places, inclusive of any vat/tax.

4. VAT Rate (optional)
This must be specified as either a single-character code (eg. S for standard rate, Z for zero rate etc) or a percentage (eg. 20.00 for 20%).

5. Product Group/Category (optional)
This can either be a number (eg. 1 for soft drinks, 2 for cigarettes, 3 for frozen food etc) or a fixed description (eg. Soft Drinks, Frozen Food), and must be consistent throughout the file. We will match this to the Product Groups you have specified on the new POS system.

6. Cost Price (optional)
Your buying price of the product. A numeric value to 2 decimal places, exclusive of any vat/tax, for a single unit of the product.

These are the only 6 values we can import into the SamTouch software. The first 2 items must be provided as a minimum – the other 4 items are optional.

If you do not specify any Unit Selling Price, VAT Rate, Product Group or Cost Price or they are not in a workable consistent format, then the related products will be imported under a single Product Group, assigned the default vat/tax rate on the system, and/or with a zero selling price or cost price. Any product codes/barcodes or description which are too long or that contain non-standard characters will be excluded.

OTHER DATA VALUES
We are unable to automatically import any other data values or values which are not in the specified format. Either you will need to add this data manually to the new POS system after your training session, or on request we can quote you for manual data entry after seeing the quantity of product records. Please note our hourly rate of £22.50+vat is quoted for data entry, supervision and checking.

If the data contains non-standard characters, embedded headings / sub-headings, blank lines, graphics, or other content which needs to be removed then additional time may be required and this will be chargeable – we can advise and quote after seeing your files and prior to commencing work.
